Inside the template

What this alumni network registration asks, and why

Three steps to reconnect with graduates. The first collects name, email, graduation year and what they studied. The second asks what they're doing now; those studying again are asked what. Role, organization and location are optional. The third asks whether they'd mentor a current student, and only those who say yes see a checklist of what they could help with. Another checklist covers speaking, hosting visits, offering placements and helping with local meetups. The form ends by asking how often they want to hear from you. It deliberately asks for no donation, because a fundraising request can cost you the updated contact.

The 12 questions it asks

In order, with their field types and why each one is there. Pick one to see its screen above. Edit, reorder or delete any of them once it's yours.

  • The graduate's name.

  • A personal email, since university addresses usually expire.

  • Graduation year, for year-group reunions.

  • What they studied, for matching mentors to current students.

  • What they are doing now. 'Studying again' asks what.

  • Shown only to graduates studying again.

  • Optional role and organization, the detail that makes placements possible.

  • Optional location, for local meet-ups.

  • Whether they would mentor a student. Only 'Yes, I'd be glad to' shows what they could help with.

  • Shown only to willing mentors, so each one can be matched to the right students.

  • Other ways to help, from speaking to offering placements.

  • How often they want to hear from you, a promise your mailing list has to keep.

2 questions are conditional. They only appear when an earlier answer calls for them, so most people answer 10, not 12.

Best practices

How to get good answers from an alumni network registration

  1. 1

Do not ask for money here

A donation request on a contact update costs you the contact update. Send appeals separately to those who opted in.

  2. 2

    Honour the contact preference

If someone asks to hear from you once a year, keep to it. Breaking that promise is the fastest route to an unsubscribe.

  3. 3

    Follow up mentors quickly

A graduate who offers to mentor is most willing in the first few weeks. Introduce them to a student soon.

  4. 4

    Ask for a personal email

University addresses lapse. A personal email keeps the contact for years.

After you publish

Where the responses go next

  1. Build the mentor list

Search responses for willing mentors and export the list with their areas of help.

  2. Sync to your CRM

On Pro, send each registration to your alumni database through a webhook, Zapier or Make.

  3. Plan events by city

Export to CSV and group by city to see where a local meet-up would draw a crowd.

FAQ

Alumni Network Registration: common questions

Still deciding?

Seven steps from an empty account to a published form.

Why does it not ask for a donation?

Mixing a fundraising ask into a contact update costs you the update. Send the appeal separately, to people who opted in here.

How does the mentoring question work?

Saying yes opens a checklist of what they could help with. 'Maybe' or 'Not at the moment' moves straight on.

Does it respect a contact preference?

It records one. Your mailing process has to read that answer and keep to it.

Can graduates finish it later?

Yes. As a three-step form it has a 'Save & continue later' button.

Can I share it on LinkedIn?

Yes. Share the link anywhere, and it shows a branded preview card when posted.
