What this parent–teacher meeting booking asks, and why

Parents usually book these slots on a phone, often late in the evening, so every answer is a tappable card. Parents give their name, their child's name and class, and an email, then choose a time slot. They say whether they'll meet in person or by video call; video opens a question about which email the link should go to. An optional checklist asks what they'd like to talk about, so the teacher can prepare. A final question offers an interpreter or other support. Remove each slot once it's taken, since a choice question has no automatic capacity limit.

Replace the fixed slots with a preferred date and time for meetings booked after reports go home.

Pastoral or SEN reviews

Add a question about who else should attend, such as a specialist or the student themselves.

Multi-language schools

On Pro, add translations so parents can book in the language they read most comfortably.

Best practices

How to get good answers from a parent–teacher meeting booking

  1. 1

    Remove slots as they fill

Choice questions have no capacity limit, so check bookings each day and delete taken slots from the options.

  2. 2

    Run one form per teacher

A form per teacher or per class keeps the slot list short and the responses tidy for each teacher.

  3. 3

    Offer support without being asked

Parents who need an interpreter are the least likely to ask. A direct question makes it normal to say yes.

  4. 4

    Send it early

Send the link a two weeks before, with a closing date two days ahead of the evening so teachers can plan.

After you publish

Where the responses go next

  1. Build each teacher's schedule

Export to CSV and sort by slot to give every teacher a running order for the evening.

  2. Arrange interpreters

Search responses for 'Yes, please' on support to see who needs help and book it in advance.

  3. Share with the office

On Pro, send bookings to a Google Sheet the school office can see and update.

FAQ

Parent–Teacher Meeting Booking: common questions

Still deciding?

Seven steps from an empty account to a published form.

How do I stop two parents booking the same slot?

Remove a slot from the options once it is taken, or run one form per teacher so the list stays short. There is no automatic capacity limit on a choice question.

Does it handle video meetings?

Yes. Choosing a video call reveals a field for the email the link should go to; parents meeting in person never see it.

Can parents say what they want to discuss?

Yes, with a checkbox list of topics, including one for things they would rather say in person.

Does it work on a phone?

Yes. Every answer is a tappable card, designed for parents booking on a phone in the evening.

Can I close bookings before the evening?

Yes. Set a closing date and a message telling late parents to contact the office.
