What this campus fest registration asks, and why

Three steps for inter-college fests and campus events. Students give their name, email, phone number, college and department, then tick every event they're entering. They choose solo or team. Teams are asked for a team name and the other members, so one person registers the whole team and nobody fills it in twice. The last step asks whether they're traveling from another college; only those who are see the accommodation question, for one or two nights. A T-shirt size completes it. Export to CSV and sort by event to give each event lead their list.

The 11 questions it asks

In order, with their field types and why each one is there. Pick one to see its screen above. Edit, reorder or delete any of them once it's yours.

  • The entrant's name, as it should appear on certificates and results.

  • For schedules, results and any changes.

  • Fests run on quick messages, so a phone number is required.

  • College and department, which inter-college competitions need for every entry.

  • A checkbox list, so one registration covers every event a student enters.

  • Solo or team. Choosing 'As a team' reveals the team questions.

  • Shown only for team entries, the name that appears on the scoreboard.

  • Shown only for team entries, one name per line, so teammates do not each register.

  • Whether they are coming from another college, which decides the accommodation question.

  • Shown only to students traveling in, for one or two nights.

  • Fest T-shirt size. Remove it if you are not giving any out.

3 questions are conditional. They only appear when an earlier answer calls for them, so most people answer 8, not 11.

When to use it

Built for these jobs, and easy to bend to yours

  • A multi-day college fest or cultural festival
  • Inter-college competitions with team entries
  • Hackathons, quizzes and battle-of-the-bands rounds
  • Any student event with travel and accommodation

Ways to adapt it

Hackathon

Replace the events list with tracks, and ask for each team member's skills and a GitHub link.

Single competition

Remove the events list and keep team details for a one-off debate, quiz or dance competition.

Volunteers

Make a copy for student volunteers, asking which days and roles they can cover.

Best practices

How to get good answers from a campus fest registration

  1. 1

Let one person register a team

Asking every team member to fill in the form creates duplicates. One registration with the members listed is cleaner.

  2. 2

    Warn about clashes

Mention in the events question that some events overlap. Students pick more realistically, and you deal with fewer clash requests.

  3. 3

    Close well before the fest

Accommodation and T-shirts need final numbers. Set a closing date that gives the organizing committee time.

  4. 4

    Share it where students are

Post the link and QR code in college groups and on posters around campus.

After you publish

Where the responses go next

  1. Build event-wise lists

Export to CSV and sort by event to give each event coordinator their list of entrants.

  2. Plan accommodation

The answer breakdown counts how many students need one or two nights, before rooms are booked.

  3. Keep the committee updated

On Pro, send each registration to a shared Google Sheet the whole organizing committee can see.

FAQ

Campus Fest Registration: common questions

Still deciding?

Seven steps from an empty account to a published form.

How are team entries handled?

Choosing 'As a team' shows a team name and a box for the members. The team lead registers once for everyone.

Can students enter more than one event?

Yes. The events question is a checkbox list, so one registration covers several events.

Does the form collect a registration fee?

No. FormSnapp has no payment field, so collect fees separately and match them against the registration list.

Is accommodation asked of everyone?

No. It appears only for students coming from another college.

Can students save it and finish later?

Yes. It is a three-step form with a 'Save & continue later' button.
